Decide whether the programme will include a ceremony, seated meal, cocktail reception or open dance area. A yacht's maximum capacity does not automatically apply to every layout. Tables, chairs, service stations and entertainment equipment reduce usable space.

Create a schedule covering supplier arrival, setup, guest boarding, departure, food service, music, photography and return. Check the available sound system, electricity and DJ setup before booking external equipment. Decorations must be installed safely and removed after the event. Photography plans should account for changing light, deck access and the movement of guests.
Select a yacht with an enclosed area suitable for your group and agree on how the layout will change if wind or rain affects the open deck. The captain's maritime safety decision takes priority over the planned route or programme.
